1. Who we are
Northdoc is a document intelligence API and web app, and a product of Northcape Technology Pty Ltd (ABN 62 691 614 516) of Melbourne, Victoria, Australia ("we", "us"). It reads PDFs, scans, images and Office files, and returns text, layout, structured JSON with page citations, answers to questions and, if you ask for them, embeddings.
These terms are an agreement between us and you, the person or organisation using Northdoc at northdoc.northcape.tech. If you use Northdoc for an organisation, you confirm you are authorised to accept these terms on its behalf. Our Privacy Policy explains how we handle personal information and forms part of these terms.
2. Your account and API keys
You sign up with an email address and log in with a magic link or a password. You
can create workspaces, invite members and create API keys: live keys
(ak_live_…) and test keys
(ak_test_…).
- Give us accurate details and keep your email address current.
- A key is shown once, when you create it. We store only a SHA-256 hash, so we cannot show it to you again. Keep keys secret and revoke any that may have leaked.
- You are responsible for everything done with your account, your workspaces and your keys, including by members you invite.
- Tell us promptly at admin@northcape.tech if you think your account or a key has been misused.
3. Acceptable use
When you use Northdoc, you must not:
- upload or fetch unlawful content, or use the service for an unlawful purpose;
- send documents you do not have the right to process, including personal information you have no lawful basis or consent to share with us;
- probe, scan or test the security of the service, disrupt it, or try to get around rate limits, quotas or billing;
- reverse engineer the service, except to the extent the law allows despite this restriction;
- resell or give third parties raw access to the API without our written agreement (building your own product on top of Northdoc is fine).
Rate limits and quotas apply to every workspace and are described in the API docs.
4. Your content
You keep ownership of the documents you send and of the outputs Northdoc produces from them. You give us a licence to host, copy and process that content only as needed to provide the service to you, for as long as you keep it with us.
We do not use your documents or outputs to train models, and our model providers do not either. How long we keep content, and where it is processed, is set out in the Privacy Policy and on our security page.
5. AI output
Extractions and answers are generated by AI models. They can be wrong, incomplete or out of date, even when they look confident. Every extracted value comes with a page number and a quote so you can check it against the source.
We update the models behind Swift and Summit as better ones become available, so
the same document can give a different, usually better, result over time. The
version in each response's model.used
says which model produced it. We change the embedding model (Compass) only with
notice, because vectors from different models cannot be compared.
You must review outputs before relying on them, particularly for decisions that affect people, money or legal rights. Northdoc output is not legal, financial, medical or other professional advice.
6. Credit, pricing and payment
- Northdoc runs on prepaid credit, bought through Stripe and priced in US dollars. Prices include GST where it applies. Current prices are on the pricing page.
- Work is charged per page and per model token. When a document is accepted we hold an estimate from your balance, then settle for actual usage when it finishes.
- Paid credit does not expire.
- We may change prices. We will give notice before new prices apply, and changes never affect credit you have already used.
- Card details go straight to Stripe; we never see or store full card numbers.
- We refund unused paid credit on request where the law requires it, and otherwise at our discretion. Email admin@northcape.tech.
7. Test keys and free trial
Test keys are free. They return deterministic fake results so you can build and test an integration without spending credit; they do not analyse your documents.
Your first workspace gets free trial credit (one trial per account), which expires 30 days after it is granted. While a workspace is on the free trial, documents can be kept for at most 7 days. Once your trial credit is used or expires, buy credit to keep using live keys.
8. Availability and changes
We work to keep Northdoc fast and available, but we do not guarantee any particular uptime, and the service may be interrupted for maintenance or by problems with our providers.
Northdoc will keep changing. We may add, change or remove features. If we remove or materially change a feature you rely on, or discontinue the service, we will give reasonable notice by email or on the site.
9. Suspension and termination
You can stop using Northdoc and close your account at any time.
We may suspend or close an account, or revoke keys, if you materially breach these terms, if your use puts the service, other customers or third parties at risk, or if the law requires it. Where it is reasonable to do so, we will tell you first and give you a chance to fix the problem.
When an account closes, your documents and results are deleted as described in the Privacy Policy. Sections 4, 5, 11, 12 and 14 continue to apply.
10. Confidentiality and security
We treat your documents and outputs as confidential. We access them only to provide the service, to investigate a problem you report, or where the law requires it.
The service is served over HTTPS only, with HSTS. API keys are stored as hashes, access is scoped to each workspace, and API requests are logged for audit. The security page has the detail. No system is perfectly secure; if a breach affects your information we will tell you as the Privacy Policy describes.
11. Australian Consumer Law and liability
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these terms excludes, restricts or modifies any right or remedy you have under that law or any other law that cannot be excluded.
Subject to that, and to the extent the law allows:
- Northdoc is provided as is, and we exclude all warranties and conditions that are not set out in these terms;
- where we are allowed to limit our liability for failing to meet a consumer guarantee, it is limited to supplying the services again or paying the cost of having them supplied again;
- our total liability to you for anything arising out of these terms or the service is limited to the fees you paid us in the 12 months before the event giving rise to the claim;
- we are not liable for indirect or consequential loss, or for loss of profit, revenue, data or opportunity.
12. Indemnity
You indemnify us against claims, losses and costs (including reasonable legal costs) arising from content you send to Northdoc, or your use of the service, breaking the law or infringing someone else's rights, including their privacy. This does not apply to the extent the loss was caused by our own breach or negligence.
13. Changes to these terms
We may update these terms. We will give at least 14 days' notice of material changes by email or on the site before they take effect, and update the date at the top of this page. If you keep using Northdoc after that, the new terms apply. If you do not agree, you can close your account before they take effect.
14. Governing law
These terms are governed by the laws of Victoria, Australia. You and we submit to the non-exclusive jurisdiction of the courts of Victoria and the courts that can hear appeals from them.
